Job Summary
Triage complex administrative, organizational, and operational needs for the CHESS User Office while supporting 24/7 User Operations. Work daily with over 50 scientific, technical, and operations staff members to maintain experiment details, schedules, and user data in the BeamPASS database. Provide engaged customer service by fielding, screening, and responding to telephone and walk-in inquiries, often requiring timely responses to user issues. Manage building access and parking passes, oversee the UO email inbox, and facilitate scheduling changes for visiting User groups. Coordinate Wilson Lab tours, assist with travel arrangements, and support facilities needs including space inventory and event logistics.
Required Qualifications
- Associate's degree
- 2–4 years of relevant administrative experience
- An equivalent combination of education and experience
- Ability to cultivate and develop inclusive working relationships with students, faculty, staff, and community members
- Proven organizational and time-management skills and capacity to handle competing priorities and frequent walk-in requests for assistance
- Exceptional written and verbal communication skills
- Strong interpersonal skills with a proven ability to work with diverse audiences
- A strong commitment to quality service, identifying customer needs, and referring/triaging appropriately
- Experience that demonstrates sound judgment, creativity, management, and problem-solving skills both individually and as part of a larger team
- Propensity to navigate various forms of administrative technology such as Microsoft Office Suite, various databases, and communication software
- Detail oriented
- Capacity to accurately manage frequent user-based communications, while also ensuring consistency across multiple sources of data, content, schedules, and more
- Full-time (39 hours per week) availability
- Based in Ithaca, NY
- Fully on-site availability
- Core working hours Monday through Friday, 8:00 AM to 4:30 PM
- Flexibility as needed
- Three-year term appointment availability
- Contingent upon available work, funding, and performance
