Warranty Administration, Lead (Central), Dealership Operations

Job Summary
Submit warranty claims accurately and on time to OEMs, primarily Stellantis, across all 7 dealership sites. Track claim status through the full operational lifecycle, including submission, review, approval, and payment. Proactively manage denied or rejected claims by identifying root causes, correcting documentation, and resubmitting promptly. Ensure all repair orders have complete, compliant documentation before submission, maintaining strict alignment with OEM policies. Partner with Service Advisors and Service Managers at each site to improve documentation quality at the point of creation. Reconcile warranty payments against submitted claims and support monthly financial submissions with verified data. Provide regular analytics reports on claim volume, approval rates, and denial trends to the Strategy & Analytics Sr. Manager. This role requires a minimum of 3+ years of automotive warranty administrator experience with heavy emphasis on OEM processes.
Required Qualifications
- Minimum of 3+ years of automotive warranty administrator experience
- Must be able to read, write, speak and understand English
- Must be at least 18 years of age
- Must have a valid driver's license
- A clean driving record with no more than two moving violations or DUI's in the last three years
- Must be able to work both inside and outside in heat/cold, wet/humid, and dry/arid conditions
- Must use personal protective equipment to prevent exposure to hazardous materials
- Must be able to work overtime and weekends for special programs and events
- Must be able to frequent standing and sitting with varying periods of each
- Must be able to lift up to 40 pounds frequently
- Must be able to walk up to three miles each day
- Must pass a complete background check
- Not eligible for visa sponsorship
Desired Qualifications
- Heavy emphasis on OEM processes (Stellantis/CDJR experience highly preferred)
- Deep understanding of OEM warranty policies, labor operations, diagnosis coding, and compliance standards
- Strong communication and partnership skills, with the ability to influence and guide site-level Service Advisors and Managers on documentation best practices
- Analytical mindset with strong attention to detail, capable of reconciling financial payments and spotting denial trends
- Ability to thrive in a centralized, fast-paced, and evolving back-office environment
