Job Summary
VP, Operations and Facilities Management at IIX Global Singapore HQ; owns office operations, commercial contracts support, and program-management coordination. Manages Singapore office facilities, vendor relations, relocation projects, HR onboarding coordination for Singapore hires, contracts review and lifecycle management (NDAs, MoUs), and supports cross-functional program tracking and donor reporting. Works closely with the COO and Finance Director, ensuring smooth operations, organised documentation, audit readiness, and a culture-aligned, high-ownership environment. Emphasizes PREM values (P: Passionate, R: Resilient, E: Equitable, M: Maverick) and cross-functional collaboration across operations, contracts, and program delivery.
Required Qualifications
- 4–6 years of experience in operations, project coordination, legal operations, or executive administration
- Some exposure to commercial contracts review — ability to read vendor, service, or subcontractor agreements, identify non-standard terms, and flag areas of concern
- Experience supporting program or project management workflows — tracking deliverables, coordinating across teams, maintaining documentation
- Comfortable working with subcontractor documentation and audit-ready filing
- Singapore market familiarity — local vendor landscape, office leasing norms, and business practices
- Experience managing or supervising at least one direct report
- Strong written English — drafting correspondence and documentation on behalf of senior leadership
- Ability to handle multiple workstreams with organization and attention to detail
