Job Summary

The VP, Financial Administration - Retail Alternatives leads client relationships and the administration of retail alternative products (interval funds, tender offer funds, BDCs, REITs, 34 Act private funds), focusing on financial reporting, performance reporting, and treasury reporting, with significant involvement in preparing, coordinating, reviewing, and filing SEC reports (10-Ks, 10-Qs) for BDCs under the Investment Company Act of 1940. Responsible for managing a team that services BDCs, ensuring accurate XBRL tagging and EDGAR submissions, staying current on SEC/1940 Act requirements, drafting disclosures, monitoring new accounting pronouncements, supporting board reporting, and assisting with SOX controls. Oversees preparation of annual/quarterly/semi-annual financial statements and SEC reports (10-K, 10-Q, N-CSR, N-CEN, 24f-2, etc.), budgets, client billing, and coordination of audits with outside auditors. Leads personnel management including hiring, training, performance reviews, coaching, and corrective actions; mentors associates and maintains high levels of client service. Requires collaboration with clients, auditors, vendors, and Fund Officers, with a focus on timely, accurate reporting and compliance. Education and experience include a Bachelor’s degree in accounting, finance, or related field, 10+ years of mutual fund administration or fund accounting, 5-7 years of leadership, and extensive knowledge of GAAP, SEC regulations, and Investment Company Act of 1940. This role emphasizes leadership, reliability, and strategic oversight across regulatory reporting, financial statements, and board communications, within Ultimus as an equal opportunity employer.

Required Qualifications

  • Bachelor’s degree in accounting, finance, or related field
  • 10+ years of mutual fund administration or fund accounting experience
  • 5-7 years of management and leadership experience
  • Experience with financial statements preparation related to mutual funds
  • Experience working within the financial services industry
  • Knowledge of U.S. GAAP
  • SEC regulations
  • Investment Company Act of 1940
  • Disclosure controls and procedures for accurate financial statements
  • Portfolio disclosures and fair value accounting
  • Experience with financial reporting tools (e.g., Workiva, DFIN, or similar)
  • Strong financial reporting, regulatory compliance, and tax skills
  • Ability to mentor and develop associates
  • Strong communication and leadership skills
  • Ability to coordinate audits with outside auditors
  • Ability to oversee SEC filings and board reporting
  • Compliance with SOX and internal control requirements
  • Experience with investment instruments and fund products
  • Proficiency in Microsoft Office and Adobe Acrobat
  • Ability to manage multiple clients and deadlines
