Job Summary
Coordinate maintenance requests, manage vendor contracts, and handle tenant communications via phone, text, email, and WhatsApp in both English and Spanish. Track open work orders, oversee move-ins and move-outs, and follow up on rent collection while maintaining accurate property records and financial documentation across multiple LLCs. Escalate urgent property issues to ownership and utilize AI tools to streamline recurring workflows and improve operational reporting. This role requires availability during US Pacific Time business hours and full professional fluency in both languages. You will work directly with ownership on a growing residential portfolio, applying a solutions-first approach to difficult conversations.
Required Qualifications
- Full professional fluency in both English and Spanish, written and spoken
- Prior experience in property management, real estate operations, or a closely related role
- Fundamental understanding of multi-entity accounting and tracking financial activity across multiple properties or business entities
- Strong organizational and multitasking skills with the ability to manage multiple open items simultaneously without dropping the ball
- Excellent communication and follow-through across phone, text, email, and messaging platforms
- Comfortable handling difficult tenant conversations professionally and calmly
- Experience coordinating maintenance vendors and contractors
- Tech-savvy with the ability to learn new systems quickly
- Reliable internet connection and a quiet, professional work environment
- Available to work during US Pacific Time business hours
- Full professional fluency in both English and Spanish, written and spoken — this is a non-negotiable requirement
Desired Qualifications
- Experience with DoorLoop, Buildium, or similar property management software
- Experience working with Section 8 or affordable housing programs
- Experience managing remote vendors or contractors across multiple properties
- Familiarity with Google Workspace, Slack, Notion, Airtable, or ClickUp
- Experience using AI tools such as ChatGPT to improve workflows and reporting
