Job Summary

Manage active commercial real estate development projects by maintaining deal trackers, verifying public records, and coordinating with brokers, attorneys, and government offices during U.S. Central Time business hours. Conduct independent research on deed recordings, easements, and appraisal districts while cross-checking documents for consistency and flagging discrepancies. Draft professional follow-ups, make outbound calls to stakeholders, and update financial spreadsheets and project budgets using established templates. Assemble transaction data rooms, organize digital files, and utilize AI tools to streamline administrative workflows. Ensure accurate documentation, persistent follow-up on outstanding items, and seamless communication across multiple concurrent transactions.

Required Qualifications

  • 2+ years of experience supporting complex projects, transactions, operations, executive teams, or similar environments
  • Fluent professional English, both written and spoken
  • Strong spoken English for live phone communication with U.S.-based contacts
  • Advanced organizational and administrative skills
  • Strong proficiency with Microsoft Excel and Google Sheets
  • Strong proficiency with Google Workspace
  • Ability to research information across multiple online sources and independently verify findings
  • Exceptional attention to detail
  • Ability to follow written procedures and verification checklists precisely
  • Strong document management and version-control habits
  • Comfortable working with spreadsheets, budgets, records, and detailed documentation
  • Persistent follow-up style with the ability to chase outstanding items without repeated direction
  • Strong written communication and professional email drafting skills
  • Ability to identify discrepancies rather than assuming information is correct
  • Resourceful and comfortable learning unfamiliar systems and terminology
  • Ability to manage multiple active priorities without losing track of details
  • Full availability during U.S. Central Time business hours
  • Consistent real-time availability

Desired Qualifications

  • Previous experience supporting a commercial real estate development firm
  • Experience in commercial real estate, property development, acquisitions, transactions, construction, or capital advisory
  • Familiarity with real estate development documentation and terminology
  • Experience researching U.S. property or public records
  • Experience working with brokers, attorneys, engineers, buyers, or government offices
  • Experience with commercial real estate pro formas or project budgets
  • Experience with Monday.com
  • Experience with Claude or other AI productivity tools
  • Experience assembling transaction data rooms or deal packages
  • Experience supporting senior executives or managing partners
  • Real estate experience is preferred but not strictly required
  • Ability to quickly learn commercial real estate processes
