Job Summary
Greet and check in clients and patients, verify and update medical records, and confirm appointment details using practice management software. Answer and manage a multi-line telephone system for inquiries regarding scheduling, prescription refills, and vaccination records. Perform client check-outs by processing payments, posting charges, and scheduling follow-up appointments. Communicate medical information, diagnoses, and care instructions accurately, including during sensitive situations like euthanasia scheduling. Maintain accurate electronic medical records and coordinate with veterinarians and support staff to relay communications and maintain efficient patient flow. Keep the reception area and waiting room clean and organized. Monday and Wednesday shifts run 7AM-7:30PM, with Tuesday, Thursday, and Friday from 7AM-6:30PM, plus rotating Saturdays.
Required Qualifications
- Minimum 1 year of experience as a veterinary receptionist, veterinary CSR, or medical receptionist in a clinical setting
- Proficiency in appointment scheduling, multi-line phone management, medical records management, and payment processing
- Proven customer service skills; ability to manage high-volume client relations with composure and accuracy
- Strong verbal and written communication skills, including active listening and conflict resolution
- Comfortable handling animals of varying sizes, breeds, and temperaments, including fearful or reactive patients
Desired Qualifications
- Experience with veterinary practice management software; Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet preferred
- Knowledge of veterinary medical terminology, vaccination protocols, and basic diagnostic procedures
