Job Summary
Welcome clients and patients with warmth, professionalism, and compassion while serving as the primary point of contact for inquiries in person and by phone. Schedule appointments, manage a busy multi-doctor calendar, and prioritize urgent needs to maintain efficient patient flow. Check patients in and out, collect payments, process invoices, and review estimates to ensure accurate billing. Maintain client and patient records within the practice management system, handle medical record requests, and update documentation. Answer client questions, route medical concerns to appropriate team members, and communicate hospital policies clearly. Manage appointment reminders, follow-up communications, and sensitive conversations with empathy. Maintain a clean, organized reception area and assist with basic administrative tasks as needed.

- Compassionate communication skills, especially during sensitive or emotional situations
- Experience coordinating appointments and managing busy schedules

- Confidence identifying scheduling priorities and escalating urgent concerns appropriately
- Comfort discussing invoices, estimates, services, and hospital policies with clients

- Comfort working with clients of both small animal and exotic pet patients
Desired Qualifications
