Job Summary

Draft communications, manage expense budgets, and coordinate vendor relationships while acting as a primary point of contact for company policies. Schedule meetings, prepare agendas, and facilitate presentations, ensuring accurate documentation and distribution of on-brand materials. Compile complex reports, manipulate routine data, and execute travel arrangements including accommodations and meeting spaces. Manage calendars, prioritize conflicting needs, and handle expense reimbursements with precision. Requires two-year college degree, five years of administrative or insurance experience, and proficiency in Microsoft Office and Concur. Base salary ranges from $22.00 to $29.00 hourly for new hires.

  • Ability to work outside of regular business hours as needed

Desired Qualifications

  • Two-year college degree preferred
  • 5+ years administrative/insurance experience preferred
  • High degree of trustworthiness and confidentiality
  • Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams, and SharePoint) skills
  • Familiarity with MS Loop, Bookings, Planner, or To Do
  • Ability to manage changing travel itineraries, accurately manage expense reimbursement, manage a busy calendar and appointments flawlessly
  • Proficient in Concur system
  • Experience reviewing and preparing expense reports for leaders
  • Knowledge and understanding of intricate domestic and international travel planning
  • Ability to perform in a fast-paced and high-pressure environment
  • Ability to communicate effectively, in both written and verbal formats, with senior executive-level leaders
  • Ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment
  • Ability to follow policies, procedures, and regulations
  • Ability to handle confidential material in a professional manner
  • Strong attention to detail and accuracy skills
  • Ability to work effectively in a team environment and across all organizational levels, where flexibility, collaboration, and adaptability are important
