Job Summary
Coordinate commercial travel arrangements, including airfare, lodging, and ground transportation, for STEM interns and program staff while managing rental cars based on site schedules. Serve as the primary point of contact for travel inquiries and logistical disruptions, resolving cancellations and delays in real time. Process authorizations, expense reports, and reimbursements against the program budget, and maintain tracking systems for intern arrivals and departures. Liaise with program managers, host site contacts, and vendors to ensure smooth execution, while supporting intern onboarding through recruitment, ATS recordkeeping, and first-day logistics. Assist with offboarding procedures and document performance or accommodation issues as appropriate.
Required Qualifications
- 2+ years of experience in customer service
- Active Secret clearance or ability to obtain/transfer one
- US citizenship
- Professional demeanor with strong interpersonal skills
- Ability to communicate with warmth and empathy while maintaining firm adherence to program policies and procedures
- Excellent written and verbal communication skills
- Comfortable interfacing with interns, government stakeholders, and vendors
- Ability and eagerness to adapt to changing environments and learn new skills
- Ability to maintain confidentiality in handling sensitive information
- Strong organizational skills with the ability to manage multiple travelers and moving logistics simultaneously
- Proficiency in Microsoft Office, particularly Excel
- Must have a successful adjudication for a secret clearance
Desired Qualifications
- Some accounting experience/knowledge
- Experience with commercial travel management platforms
- Prior experience supporting student, intern, or early-career talent programs
- Able to adapt to a fast-paced, detail-driven role supporting a high-visibility government STEM program
- Some travel may be required (10% or less)
