Job Summary
Process invoices, create purchase requisitions, and track remittances through SAP while reconciling the department's American Express purchasing card monthly. Maintain departmental SharePoint sites and electronic files to ensure information remains current, and conduct restricted party screening for customers, suppliers, and business partners. Assist with routine import and export and deemed export compliance activities by tracking requests, reviewing documentation, and supporting compliance training programs. Proofread communications and presentations, and provide administrative support for scheduling sessions and distributing materials. This part-time role requires 15-20 hours per week and is located in Rye Brook.
Required Qualifications
- Minimum of 2 years of administrative, operations, or related business experience
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Demonstrated ability to work independently while collaborating effectively with cross-functional teams
Desired Qualifications
- Experience supporting an international trade, import/export, logistics, customs brokerage, freight forwarding, or supply chain organization
- Familiarity with SAP and SharePoint
- Experience working with compliance, legal, finance, or operations teams
- Experience conducting restricted party screening or supporting import/export compliance activities
