Job Summary
Answer phones, communicate with tenants, and maintain paper and electronic files while processing invoices and coding tenant work orders for monthly billbacks. Manage the work order system, follow up on specific orders, and assist in emergency procedures including fire drill preparations. Respond to tenant needs to ensure administrative and technical staff resolve problems promptly, and coordinate move-in/move-out documentation and signed moving policies. Maintain updated tenant contact lists, update engineer on-call binders, and support tenant events and conference center reservations. Participate in monthly building walks and tenant visits. This role contributes to process improvement initiatives and tenant outreach programs at a national firm managing over 720 million square feet of commercial space.
Required Qualifications
- High School Diploma/GED
- up to 2 years of job-related experience
- Bachelor's Degree preferred
- Working knowledge of Microsoft Office Suite
- Basic math skills with ability to calculate percentages, discounts, and markups
- Strong organizational skills with an inquisitive mentality
- Communication skills sufficient to exchange straightforward information with tenants, vendors, and team members
- Currently authorized to work in the United States without the need for visa sponsorship now or in the future
- Ability to perform each essential duty satisfactorily
- Participates in monthly building walks and tenant visits
- Infrequent travel required
- 100% in-office
- Working in office during standard business hours
- Remote work or telecommuting is not an option
- Valid authorization to work in the United States
- Successful completion of a background investigation
