Job Summary
Manage incoming and outgoing mail, including legal notices, benefits correspondence, and tax documents, while scanning and electronically distributing items. Monitor office supply, kitchen, and inventory levels, restocking common areas and notifying personnel when replenishment is needed. Coordinate conference room setup and readiness, reorganizing spaces after use and assisting with light upkeep prior to professional cleaning. Support staff with administrative requests, submit internal service tickets, and handle equipment installations and hardware deployment. Receive and direct visitors, vendors, and service providers, and follow up on facilities and maintenance requests to ensure timely resolution. Prepare administrative reports, documentation, and presentation materials while routing correspondence to appropriate departments. This temporary part-time role supports the Sudbury, MA office for approximately three months, with a schedule of 10 hours per week between 12:00 p.m. and 2:00 p.m.
Required Qualifications
- High school diploma or equivalent
- Currently authorized to work in the United States
- Reside in and perform work from a location within the United States
- Two to four years of administrative, office coordination, operations, or customer service experience
- Experience supporting office operations in a professional environment
- Experience managing office supplies, facilities coordination, or mail distribution
- Experience working with Microsoft Office applications, including Outlook, Word, Teams, and Excel
- Strong organizational and time-management skills
- Excellent interpersonal and customer service abilities
- Effective verbal and written communication skills
- Strong attention to detail and ability to follow directions
- Proficiency with computers and standard office technology
- Ability to manage multiple priorities and adapt to changing needs
- Ability to work independently while maintaining regular communication with remote team members
