Job Summary
Answer and direct incoming calls by operating telephone switchboards in company lobbies, identifying proper extensions, and placing outgoing calls. Welcome and direct visitors by identifying their needs, contacting receiving hosts, and maintaining the Visitor Board. Perform clerical duties including preparing correspondence, managing headset and receiver inventory, and maintaining a safe, clean reception area. Open and secure the lobby area at shift start and end. Assist the Office Services group by receiving packages, delivering and picking up mail, and cross-training on mailroom tasks. Requires high school diploma, exceptional oral communication skills, and basic computer knowledge. Bilingual in Spanish preferred.
Required Qualifications
- High School Diploma or equivalent
- Exceptional oral communication skills
- The ability to come across in a professional manner
- Basic computer knowledge to send and answer email, check telephone directory and prepare correspondence
- Good telephone etiquette and ability to respond to routine telephone inquiries
- Less than one year of experience operating a switchboard and working in an office setting handling multiple tasks in an environment where interruptions occur regularly
- Standing: Occasional standing for work
- Lifting: Occasional lifting of items up to 20 pounds
- Walking: Occasional walking of moderate distances
- Carrying: Occasional carrying of light objects
- Pushing: Infrequent pushing of objects
- Pulling: Infrequent pulling of objects
- Bending: Occasional bending
- Reaching: Occasional full range of motion to perform work
- Handling: Frequent handling of phone equipment
