Taxi Trucks - Operations Officer

Job Summary

Conduct administrative support for the Taxi Trucks Department, including preparing reports, collating driver run sheets, and filing sub-contractor paperwork. Process job modifications, verify hours, reconcile outside hire supplier invoices, and audit completed jobs for accuracy prior to close off. Resolve delivery problems by liaising between clients, sub-contractors, and Fleet Controllers, ensuring all queries are recorded in the Transport Management System and escalated as required. Manage end-of-period tasks such as auditing incentive payments, reconciling charges, and completing daily fatigue management analyses. Answer client bookings with a maximum 1.5% error rate and adhere to strict call handling protocols.

  • Ability to audit all completed Taxi Truck jobs for accuracy prior to close off
  • Skill in managing all outsourced jobs
  • Capacity to ensure correct invoicing and client charging
  • Ability to arrange accommodation for sub-contractors at risk of breaching maximum work hours
  • Capacity to complete afterhour's handover communicating fatigue management risks
  • Ability to hand over live jobs including local, country and relevant contracts deliveries
  • Skill in creating fatigue plans for drivers undertaking regional deliveries
  • Capacity to address and action delivery problems within agreed time frames
  • Ability to perform and follow Capital Transports Group's ring back processes
  • Skill in resolving sub-contractor queries in a timely manner
  • Capacity to record important information relating to jobs in the Notepad on the Transport Management System (TMS)
  • Ability to report escalations to the Manager
  • Skill in mediating and communicating with sub-contractors to resolve issues
  • Capacity to contact clients with unallocated advance bookings by close of business the day prior to delivery
  • Ability to inform clients of reasons for delay in allocation and provide estimated time of delivery
  • Skill in efficiently and accurately taking client bookings
  • Capacity to ensure no more than 1.5% of total bookings per day are booking errors
  • Ability to answer all phone calls within three rings with a maximum of two re-queued calls per shift
  • Capacity to abide by maximum 'Make Busy' times
  • Skill in escalating all incidents and near misses to relevant stakeholders
  • Ability to assist with investigation of incidents and near misses
  • Capacity to effectively communicate with colleagues and clients
  • Skill in advocating co-operation with both intra and inter Departments
  • Ability to ensure written and verbal communication with clients, colleagues and sub-contractors is always professional and courteous
  • Capacity to attend one on one meetings with the Manager as required
  • Skill in performing any reasonable tasks requested by the Manager
  • Ability to notify the Manager if additional training is required
  • Capacity to use work time and resources for work activities
  • Skill in ensuring compliance with Capital Transport Group's Company Policies
  • Ability to ensure compliance with the Work Health and Safety (WH&S) responsibilities
  • Capacity to cooperate with the Capital Transport Group in relation to activities undertaken to comply with WH&S and National Heavy Vehicle legislation
  • Skill in undertaking all relevant training to carry out responsibilities in line with CTG's policies and procedures and legislative requirements
  • Ability to perform roles effectively to manage Chain of Responsibility (COR) risks
  • Capacity to ensure actions or inactions do not cause or contribute to road safety breaches
  • Skill in ensuring load restraint compliance
  • Ability to ensure mass and dimension compliance
