Job Summary
Coordinate interviews across multiple time zones, ensuring an exceptional experience for candidates and interviewers. Schedule phone, virtual, and onsite interviews while managing complex calendars for recruiters and hiring managers. Serve as the primary point of contact for candidates throughout the interview process, providing timely communication and logistical support. Prepare interview schedules, meeting materials, and candidate itineraries for onsite interviews. Maintain accurate candidate records and recruiting activity within the Applicant Tracking System (ATS). Partner with recruiters to facilitate offer approvals, background checks, and onboarding activities. Assist with new hire onboarding logistics, including coordination with HR, IT, Facilities, and hiring managers. Support campus recruiting initiatives, career fairs, networking events, and internship recruiting activities as needed. Generate recruiting reports and assist with recruiting metrics and data accuracy. Continuously identify opportunities to improve recruiting processes, documentation, and operational efficiency. Maintain strict confidentiality while handling sensitive candidate and employee information. Provide administrative support for additional talent acquisition initiatives and projects as assigned.
Required Qualifications
- Bachelor's degree or equivalent professional experience
- 1–3 years of recruiting coordination, talent acquisition, HR coordination, or administrative experience in a fast-paced environment
- Exceptional organizational skills with the ability to manage multiple priorities and shifting deadlines
- Strong attention to detail and commitment to accuracy
- Excellent written and verbal communication skills with a customer-service mindset
- Experience scheduling complex interviews across multiple calendars and time zones
- Ability to handle confidential information with professionalism and discretion
- Proactive, resourceful, and able to work independently while collaborating effectively with a global team
- Must be able to work onsite full-time in either our Chicago or London office
Desired Qualifications
- Proficiency with Microsoft Office Suite
- experience with Applicant Tracking Systems (Greenhouse, Lever, Workday, or similar)
- Experience supporting recruiting within financial services, trading, technology, or other high-growth organizations
