Surgical Scheduling Coordinator II - Vascular Surgery

Job Summary

Schedule routine and complex operative cases, facilitate care coordination for multi-service procedures, and reschedule or cancel surgeries efficiently. Communicate with clinical staff to coordinate procedural times between provider offices and the operating room, while collaborating to resolve scheduling conflicts. Act as a resource for patients by providing detailed information on pre- and post-operative instructions, addressing concerns, and guiding them through the surgical process. Coordinate pre-procedure planning, including diagnostic testing and follow-up visits, and generate referral or pre-certification orders within OpTime (EPIC). Manage internal and external communications with staff, providers, and patients to optimize the surgical schedule and maintain a supportive environment.

Required Qualifications

  • Proven experience in surgical scheduling and administration, preferably in a healthcare setting
  • Exceptional organizational skills
  • Meticulous attention to detail
  • Ability to manage complex scheduling scenarios
  • Strong written and verbal communication skills
  • Proficiency in medical terminology
  • Deep understanding of healthcare regulations and insurance processes
  • Familiarity with scheduling software
  • Familiarity with electronic health records (EHR) systems
  • Familiarity with data analysis tools
  • Ability to handle sensitive patient information with discretion and professionalism
  • Strong problem-solving skills
  • Adaptability to address unique scheduling challenges
  • Commitment to maintaining the highest standards of patient care
  • High School Diploma
  • 3 years, proven experience in a healthcare scheduling or administrative role
  • Ability to occasionally lift moderate weight materials
  • Ability to stand or walk continuously
  • Ability to detect and translate speech or other communication
  • Ability to occasionally distinguish colors
  • Ability to perceive relative distances between objects
