Job Summary

Maintain physician clinics and surgery schedules, providing direct assistance to doctors and managing correspondence with staff, patients, and the Practice Leader. Schedule appointments for new and returning patients, including surgeries, procedures, and colonoscopies, while obtaining necessary authorizations and submitting clinical information to outside sources. Answer incoming telephone calls, greet patients, and provide new patients with registration packets. Maintain order in waiting rooms and exam rooms, reporting facility problems immediately. Lead projects focused on establishing standardized scheduling practices organization-wide. This role requires working in multiple locations and involves maintaining exceptional communication with local hospital and outpatient facilities.

Required Qualifications

  • High school diploma or General Educational Development (GED) certificate
  • At least two years of related medical office experience
  • Prior referral and authorization experience
  • Demonstrated punctuality, reliability, and professionalism
  • Prior surgery scheduling experience
  • Demonstrated and exceptional follow through and completion of tasks
  • History of exceptional customer service skills
  • Ability to multi-task effectively
  • Strong attention to detail
  • Understanding and usage of medical terminology
  • Knowledge of CPT and ICD-10 codes
  • Ability to read, write, do arithmetic, and apply reasoning skills equal to at least that of the average high school graduate
  • Proficient computer skills and accuracy of data entry
  • Ability to work unsupervised
  • Measles, mumps, varicella, and annual influenza immunizations

Desired Qualifications

  • Prior surgery scheduling experience preferred
  • Expertise in effective, tactful communication skills
  • Experience with and proficiency in use of electronic medical record systems
  • Allscripts
  • Ability to lead projects focused on establishing standardized scheduling practices organization-wide
  • This position may require working in multiple locations
