Job Summary
Administrative professional responsible for coordinating day-to-day studio operations and providing direct support to leadership and design teams. Responsibilities include scheduling, incoming communications and documentation management, filing systems, vendor and accounts payable coordination, payroll tracking, insurance and license coordination, light bookkeeping, and marketing coordination. The role supports client-facing administrative functions and aims to create a polished, seamless client experience within a fast-paced, high-end design studio. Requires independence, initiative, discretion, strong follow-through, and the ability to juggle multiple deadlines with accuracy; in-person, part-time schedule based in Torrance, CA.
Required Qualifications
- Minimum 3+ years of administrative, executive assistant, office management, operations coordination, or studiocoordination experience
- Experience supporting leadership and/or multiple departments simultaneously
- Experience working in a fast-paced professional office environment
- Strong Microsoft Excel skills, including spreadsheets, formulas, and tracking systems
- Proficiency in: Microsoft Office Suite; Google Workspace; Calendar scheduling and coordination tools; Digital filing and document management systems; General office software and technology platforms
