Job Summary

Oversee and serve as a source of knowledge for junior representatives while supervising scheduling, reconciliation, and credentialing functions. Acquire operating room schedules, reconcile surgical and anesthesia records, and verify insurance information to ensure complete medical records. Respond to complex scheduling and billing inquiries, resolve patient grievances, and coordinate pre-operative and post-operative visits. Validate patient identification, create identification bands, and facilitate signatures on legal and compliance documents. Review discrepancies in auto-generated estimates, collect co-payments and deductibles, and troubleshoot unique situations with the healthcare team. Manage large call volumes of 30+ daily and meet key performance indicators for collections and accuracy.

Required Qualifications

  • High School Diploma or equivalent
  • Minimum 3 years of relevant experience
  • Ability to communicate effectively in both oral and written form
  • Skill in completing assignments accurately and with attention to detail
  • Ability to process and handle confidential information with discretion
  • Ability to work independently and/or in a collaborative environment
  • Proficiency in computer software (i.e. Microsoft Office)
  • Ability to multitask
  • Ability to work well under unstructured work environments/processes
  • Flexibility with shifts on day-to-day tasks and responsibilities
  • Ability to switch rapidly between different tasks effectively
  • Ability to be adaptable to new responsibilities

  • Ability to establish and maintain a close collaborative working relationship and open communication with providers, support clinical team, and patients
  • Ability to coordinate and schedule all pre-operative and post-operative visits, and surgical procedures promptly in the system in accordance with complex specialty provider instructions
  • Ability to validate patient identification by obtaining pertinent documents and verifying identity by using two main identifiers and scanning documents into system
  • Ability to create a patient identification band for each patient in accordance with patient safety and risk management protocols and validate information when placing the band
  • Ability to interview patients and verify demographic and financial registration data in electronic system and make appropriate changes as necessary including insurance coverage information
  • Ability to conduct critical communication with patients and legal guardian facilitating the understanding of and obtaining signature on legal, ethical, and compliance related documents that must be presented and thoroughly explained to the patient or legal guardian prior to services being rendered
  • Ability to ensure all required documents, consents, implants, or tissues are available prior to procedure
  • Ability to verify insurance information, obtain benefits, and determine financial classification
  • Ability to review and identify discrepancies in auto generated estimates and create accurate detailed hospital and professional estimates as needed
  • Ability to explain insurance benefits/coverages, global/flat fee options, and collect co-payments, deductibles, co-insurance, and non-covered amounts for both hospital & professional fees prior to surgery
  • Ability to promptly work all bypass warnings, registration work queues, and Medicare Secondary Payer Questionnaire, if applicable
  • Ability to confirm that Consent for Surgery has been signed by patient and provider and procedure listed is validated against surgery schedule, follow up if necessary
  • Ability to review and follow up with appropriate departments to ensure that all pre-op results are available prior to the procedure
  • Ability to order, create purchase orders, and keep track of implants or tissues needed from external vendors, as needed
  • Ability to arrange for bed assignment or transfer, if applicable
  • Ability to work with healthcare team to resolve unique situations and troubleshoot issues
  • Ability to meet established individual and departmental key performance indicator goals: Co-pay, Previous Balances, Estimate Collections, Patient Satisfaction, Accuracy Rates, and Processing Time
  • Ability to respond to and resolve complex scheduling and billing inquiries, and patient grievances
  • Ability to cancel and reschedule all visits and surgeries as needed due to Provider Call Outs, or weather conditions
  • Ability to be cross trained and able to float and cover other surgery specialties
  • Ability to serve as subject matter expert for the surgery specialty
