Job Summary
Sr Staff Assistant Sales & Marketing Admin Support provides comprehensive sales operations and executive support for China field teams, coordinating across account teams, legal, commercial operations, government affairs, and global product functions to ensure customer readiness, compliance, effective meetings, and smooth execution. Responsibilities include managing the end-to-end NDA lifecycle for China Sales accounts; coordinating customer compliance screening and required documentation; supporting Account Managers with account setup, CRM coordination, and internal alignment; maintaining the China customer master list with ownership, priorities, opportunity status, and risk indicators; monitoring sales system notifications (NDA approvals, contracts, PRF, RMA, ECN) and coordinating follow-ups; planning and executing executive, product line, and EM visits to China across multiple cities including agendas and logistics; scheduling complex meetings across China, US, and EMEA time zones; acting as a communication bridge between China Sales leadership and global stakeholders; cross-functional collaboration with Marketing, Facilities, Finance, HR, Legal, IT & Procurement, Government Affairs, and Office admin; and supporting office operations and vendor coordination with a focus on compliance and documentation. Requires proven multi-stakeholder coordination, bilingual English/Chinese communication, and proficiency with Microsoft Office and sales-tracking tools.
Required Qualifications
- Proven experience managing complex, multi-stakeholder operations or sales support workflows
- Min 10 years' experience in similar role
- Strong coordination and communication skills across China and global teams
- High attention to detail, compliance, and documentation accuracy
- Ability to manage multiple priorities in a fast-paced environment
- Fluent business communication in English and Chinese
- Proficient with Microsoft Office & familiar with sales process and tools relating to forecast, sales tracking, and funnel management
