Sr. Executive Assistant to the CEO

Job Summary
Provide dedicated, high-touch administrative support to the CEO, including complex calendar management, meeting preparation, travel arrangements, and expense reporting. Serve as the primary point of contact for the CEO and represent the Office of the CEO with internal and external stakeholders while anticipating scheduling conflicts and proactively recommending solutions. Lead a team of Executive Scheduling and Travel Specialists by establishing service standards, assigning portfolios, and ensuring reliable coverage. Coordinate confidential Board of Directors meetings and manage sensitive correspondence with the highest level of discretion. Monitor team workload, rebalance assignments, and resolve escalated scheduling conflicts involving multiple senior executives. Partner with the Chief HR Officer on CEO priorities and build strong cross-functional relationships. Report directly to the CEO and work in the Emeryville Corporate Office 4-5 days per week.
Required Qualifications
- 10+ years of progressive executive administrative experience
- significant experience directly supporting a CEO in a fast-paced organization
- Prior experience leading, coaching or coordinating the work of an administrative support team
- Demonstrated ability to manage a highly complex executive calendar and make sound prioritization decisions with limited direction
- Strong executive presence and communication skills
- ability to interact confidently with Board members, senior leaders and external stakeholders
- Exceptional judgment, discretion and integrity when handling confidential or sensitive information
- Highly organized and detail oriented
- ability to manage competing priorities and remain calm in a rapidly changing environment
- Strong problem-solving skills
- proactive approach to anticipating needs and removing obstacles
- Experience coordinating executive meetings, leadership events, Board meetings or other high-visibility activities
- Strong people leadership, service orientation and commitment to creating consistent, high-quality support experiences
- Strong proficiency with Microsoft Outlook, Teams, Zoom, PowerPoint, Excel and other business administration tools
- Bachelor's degree in Business Administration or a related field
Desired Qualifications
- Prior experience working directly with a Board of Directors (Public company strongly preferred)
- experience with Concur or a similar travel and expense platform
- BoardVantage proficiency
