Job Summary

Serve as a trusted strategic partner to VP-level leaders, aligning priorities and translating them into coordinated cross-functional execution. Own and manage complex executive calendars with independent judgment, while independently coordinating leadership meetings, reviews, and engagements to ensure preparation, materials, and follow-through. Draft and refine executive communications, presentations, and materials requiring discretion and accuracy. Act as the key point of contact between senior leaders, cross-functional partners, and external stakeholders, managing sensitive communications with professionalism. Anticipate leader needs by proactively identifying risks, gaps, and opportunities to resolve issues before escalation. Manage domestic and international travel logistics and expenses, applying judgment around cost, timing, and preferences. Handle confidential operational, financial, and personnel information with the highest level of discretion. Represent senior leadership professionally in internal and external interactions. Partner with other Executive Assistants to ensure alignment and consistent support across functions. Continuously assess and improve executive support processes, workflows, and tools to enhance efficiency and scalability. This 100% onsite role in Newark, CA requires a strategic, anticipatory mindset with 5–10+ years of experience supporting VP-level executives in complex organizations.

Required Qualifications

  • Proven ability to exercise discretion and sound judgment while handling confidential business, financial, and organizational matters
  • Strong executive presence and credibility when engaging with senior leaders and cross functional partners
  • The ability to thrive in fast‐paced, high expectation environments while remaining composed and solutions‐oriented
  • Exceptional prioritization and organizational skills, with agility to manage changing priorities and competing demands
  • A proactive, problem-solving approach—identifying issues early and acting decisively
  • Strong relationship building skills, enabling you to collaborate effectively across departments and levels
  • A BA/BS degree or equivalent professional experience
  • 5–10+ years of Executive Assistant experience, including direct support of VP‐level executives
  • Excellent written and verbal communication skills, including executive level writing and presentation support
  • Demonstrated precision, follow-through, and attention to detail
  • Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Ability to maintain confidentiality, operate with urgency, and meet deadlines consistently
  • Authorized to work for any employer in the United States and able to pass a comprehensive background check
  • 100% onsite role out of our Newark, California location
