Job Summary
Manage assigned event workstreams for in-person, virtual, and hybrid events across Canada, overseeing complex logistics including venue sourcing, vendor coordination, and onsite execution. Coordinate registration, attendee communications, and troubleshooting while acting as the day-to-day point of contact to ensure timelines and deliverables are met. Support stakeholder meetings, prepare agendas, and track actions, while managing vendor contracts, purchase orders, and budget reconciliation. Provide onsite support for registration desks, room resets, and event closeouts, then contribute to post-event surveys, reporting, and lessons learned. This 6-month contract supports a high-volume national events portfolio during the peak Fall season, requiring flexibility to work outside standard hours and travel as required.
Required Qualifications
- Minimum of 3-5 years of experience in event planning
- Proven track record of managing complex, high-impact events in various formats
- In-depth knowledge of the event industry
- Well-established professional relationships across Canada
- Post-secondary education in Event Management, Hospitality, Business, Communications, Marketing or a related field
- Advanced digital literacy, including MS Word, Excel, PowerPoint, and Outlook
- Proficiency with event management software (such as Cvent) and other event technology
- Excellent interpersonal and communication skills
- Proven ability to collaborate across teams and with stakeholders
- Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment
- Strong problem-solving, leadership, and budget management skills
- Flexibility to work outside standard business hours
- Flexibility to execute onsite events
- Travel as required
