Special Project Assistant

Job Summary

Coordinate key meetings, manage executive calendars, and facilitate travel and purchasing for department staff. Support project-based goals by preparing presentations, tracking grant implementations, and coordinating with tribal members and stakeholders. Develop procurement requests and bid advertisements while assisting grant writers and ensuring timely project completion. Review SSBCI applications and respond to program questions in coordination with management. Maintain strict confidentiality and comply with federal and tribal privacy laws.

Required Qualifications

  • High school diploma or equivalent
  • Minimum three years' experience in community development, planning, administrative support, or secretarial experience
  • Minimum one year of project coordination or executive assisting experience
  • Proof of valid driver's license with acceptable driving record
  • Ability to be flexible in order to perform at the highest level as a team player
  • Ability to create, implement and apply a budget
  • Knowledge of print, digital, (Twitter, Facebook, LinkedIn, Instagram, etc.) as well to communicate to tribal members the services available
  • Ability to utilize maximum degree of professionalism and diplomacy with those who may be experiencing a high degree of stress both mentally and/or physically (both tribal members and co-workers)
  • Strong understanding and sensitivity to American Indian/Alaska Native (AI/AN) Tribal culture and lifestyle, working effectively with AI/AN populations
  • Effective oral and written communication skills with sensitivity to the lifestyles of targeted participants; ability to communicate professionally over the telephone and in person in a positive and clear manner
  • Skills in operating personal computers using a variety of computer software; skills in Microsoft Office 365 Suite or related software
  • Ability to establish and maintain cooperative working relationships with management, coworkers, and outside contacts
  • Ability to maintain strict confidentiality and comply with all applicable federal and tribal privacy laws and KIC policy (HIPAA, HITECH, etc.)
  • Ability to learn and apply program/agency operating policies and procedures
  • Ability to manage multiple priorities and tasks concurrently and meet deadlines; ability to take verbal instruction and prioritize assignments and deadlines of varying importance or urgency
  • Ability to work independently with minimal supervision, as well as with teams
  • Must possess and maintain a valid driver's license or capable of obtaining one
  • Must be insurable by KIC's company insurance
  • Must adhere to KIC drug and alcohol policies and procedures
  • Must pass a pre-employment and subsequent random and/or for cause drug and alcohol screening
  • Must comply with the P.L. 101-630 Indian Child Protection and Family Violence Protection Act (ICPA)

Desired Qualifications

  • Associates Degree with focus in business, urban or rural planning, project management, GIS, finance, administration, or related field
  • Experience in community clinic
  • A strong commitment to multi-disciplinary teamwork
