Job Summary
Coordinate proposal, RFP, and bid desk activities from intake through submission, tracking opportunities, deadlines, and deliverables. Maintain CRM records, opportunity updates, and activity tracking while preparing, organizing, and proofreading proposal documentation. Support customer onboarding documentation, renewals, and account administration by coordinating with internal departments for required documents, content, and approvals. Maintain reporting metrics, dashboards, and operational tracking records, and assist with process documentation, workflow improvements, and operational initiatives. Provide administrative and operational support to the Solutions Operations Manager, working cross-functionally with sales, Marketing, Customer Care, and other departments to ensure proposal materials are accurate, complete, and submitted on time.
Required Qualifications
- Associate's or Bachelor's degree in Business Administration, Communications, or related field
- 2+ years of experience in operations support, sales support, proposal coordination, project coordination, CRM administration, or related administrative roles
- Strong organizational, time management, and project coordination skills
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Experience managing multiple priorities and deadlines simultaneously
- Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word
- Ability to pass a pre-employment drug and background screen
- May be required to attend and participate in professional development activities both in and outside the company to stay abreast of new developments and best practices
Desired Qualifications
- Associate's or Bachelor's degree in Business Administration, Communications, or related field preferred
- Experience with HubSpot, Salesforce, or similar CRM platforms preferred
- Experience supporting reporting, onboarding, proposal coordination, or operational processes preferred
