Shop Parts Coordinator

Job Summary
Coordinate service activities, manage truck and trailer parts inventory, and maintain accurate repair records. Review open work orders to ensure labour, parts, and costs are recorded correctly, then enter and maintain all maintenance data within the service management system. Assist in planning daily repair schedules, coordinate incoming parts orders for installation, and handle inbound service calls and inquiries. Prepare customer invoices, process deductions, and monitor Out-of-Service reports to ensure timely repairs. Inspect deliveries for discrepancies, coordinate with the Safety department on compliance, and approve mechanic expense reports. Perform routine inventory counts, audits, and stockroom organization while maintaining telematics inventory.
Required Qualifications
- Minimum 1 year of experience in a Service Advisor, Parts Coordinator, Service Coordinator, or similar role
- Willingness to work extended hours and weekends when operationally required
Desired Qualifications
- College diploma or post-secondary education preferred
- Previous experience in the heavy truck, transportation, automotive, fleet maintenance, or repair industry is considered an asset
- Knowledge of truck and trailer parts, inventory management, and service operations
- Strong organizational and multitasking skills with the ability to prioritize work in a fast-paced environment
- Good mechanical aptitude and understanding of repair processes
- Excellent verbal and written communication skills
- Strong computer skills, including Microsoft Office and service or inventory management systems
- Positive attitude, strong work ethic, and attention to detail
