Job Summary
Greet customers to gather repair needs, payment methods, and purchase orders, then create and assign service work orders while communicating account status to technicians. Process service and job orders, record serialized parts numbers, and verify technician hours and parts entries before preparing final billing, internal shop invoices, and counter invoices. Receive and process C.O.D. payments, balance cash drawers, and route high-volume calls across all departments. Perform additional duties as assigned while maintaining strict confidentiality.
Required Qualifications
- 1+ year of experience as a Service Administrator, Service Writer, Shop Admin, or Shop Billing Clerk (dealership or fleet service preferred)
- Strong multitasking, organizational, and cross-functional coordination skills
- Clear verbal and written communication, especially under time pressure
- Comfortable using Microsoft Outlook, Excel, and Word
- High school diploma or equivalent (vocational training preferred)
- Valid driver's license
- Ability to calculate percentages, fractions, and basic math for billing accuracy
- Professional, respectful, and customer-focused demeanor
- Willingness to travel for training or to assist at other locations
