Job Summary
Greet customers in person, by phone, and via email; document concerns, symptoms, and service requests. Collaborate with technicians to prepare repair quotations and timelines, obtaining required approvals. Open, update, edit, and close work orders accurately to ensure correct billable items. Verify warranty eligibility and proper documentation using software resources to maximize claim accuracy. Assist with scheduling service appointments, manage shop capacity, and facilitate daily walkthroughs to capture repair status and parts delays. Submit case requests to factory representatives to expedite repairs and coordinate sublet work for shop equipment. Issue purchase orders for shop, office, or facility items, and monitor accounts-payable requests. Participate in work order review meetings, prepare bi-weekly payroll reports, and communicate with accounting to ensure repairs are authorized based on account status. Maintain MTO files, monitor maintenance requirements for rental equipment, and resolve customer concerns to reduce comeback rates. Monday-Friday schedule with occasional extended hours; location in Nisku, Alberta.
Required Qualifications
- 3+ years' experience in a Service Writer role or related administrative/ customer service position
- Experience with quote and work order preparation and management
- High school diploma
- Valid driver's license with a satisfactory record
Desired Qualifications
- Mechanical aptitude or previous exposure to a heavy equipment work environment
- Ability to interpret technical information
- Post-secondary education in business, automotive/heavy equipment, or related
