Job Summary
Service Project Administrator responsible for routine service job documentation, materials, job costing, invoicing, and administrative closeout for projects in Wilmington, MA or Westbrook, ME. Coordinates cost recording, timesheets, labor hour allocation, and daily reports; initiates invoicing for completed work; prepares payroll documentation; monitors accounts receivable invoicing status; resolves billing disputes with Service Managers, HVAC Technicians, customers, and Shared Financial Services. Generates and interprets reports; cross-trains for coverage; schedules and participates in internal meetings to ensure accurate information transfer; validates cost to date and reconciles project data in the business system; maintains strong communication with cross-functional teams and customers. Requires strong communication, ability to multitask in a high-paced environment, and flexibility to work overtime/weekends as needed. HVAC familiarity preferred but not required. Required Qualifications
