Job Summary
The HVAC Service Coordinator serves as the primary point of contact between customers, field technicians, and management. This role is responsible for scheduling, dispatching, and coordinating service calls, ensuring timely communication, accurate work order processing, and efficient utilization of company resources. Essential duties include creating, reviewing, and closing work orders in FieldEdge, handling permits for HVAC installations and service jobs, assigning technicians based on skill and availability, maintaining daily/weekly calendars, handling inbound customer communications, registering warranties, managing maintenance agreements, assisting with timecard verification, and generating service performance reports. The role supports billing and documentation, and collaborates across teams to ensure material availability and clear instructions for technicians. Knowledge of HVAC systems and terminology is a plus, with a strong emphasis on organization, multi-tasking, customer-first problem solving, and professional communication.
Required Qualifications
- 2+ years’ experience in HVAC, plumbing, electrical, or a service-based industry
- Strong administrative, scheduling, and customer service skills
- Familiarity with permit processes and local municipality requirements (preferred)
- Experience with service software and/or CRM tools
- Attention to detail and ability to manage multiple priorities
- Professional communication skills—both written and verbal
