Job Summary
Coordinate service-related activities for specialty mechanical systems projects in commercial/industrial facilities. Responsibilities include project setup and documentation, processing invoices and purchase orders, obtaining quotes, maintaining inspection and compliance reports, managing certificates of insurance and subcontractor documentation, and coordinating with service personnel, vendors, and office staff. Requires 2+ years experience in commercial fire protection, sprinkler, life safety, mechanical service, or specialty contracting; familiarity with NFPA 25 documentation; proficiency with Microsoft Office; ability to multitask in a high-volume service environment.
Required Qualifications
- 2+ years of experience supporting commercial fire protection, sprinkler, life safety, mechanical service, or specialty contracting operations
- Familiarity with inspection, testing, and maintenance documentation and reporting processes
- Experience working with NFPA 25 inspection reports and compliance documentation
- Ability to understand technical terminology, service workflows, and project-related documentation
- Experience processing invoices, reports, contracts, purchase orders, or project files
- Proficiency with Microsoft Office and general office software systems
- Ability to manage multiple tasks and priorities in a service-oriented environment
