Service Coordinator

Job Summary
Serve as the first point of contact for incoming service requests, inquiries, and customer feedback via phone, email, and internal systems. Plan, schedule, and dispatch service technicians for preventive maintenance, urgent repairs, and on-site visits, considering availability and location. Optimize routes and schedules to maximize efficiency and minimize travel time. Maintain accurate service calendars and records in CRM and ERP systems; process service orders, prepare quotations, and manage invoicing. Build customer relationships through proactive communication, provide timely updates on service status, and escalate complex issues as needed. Collaborate with field technicians, customers, and internal teams to ensure high-quality service experiences while complying with safety and quality standards. Monitor service performance, generate reports, and support administrative tasks as required.
Required Qualifications
- Bachelor’s degree in Business Administration, Logistics, or related field
- Minimum of 2–3 years of experience in service coordination, dispatching, or customer service
- Excellent communication skills in Dutch (fluent) and good working knowledge of English; French is a plus
- Strong organizational and time management skills; ability to prioritize multiple tasks
- Experience with scheduling software, CRM systems (e.g., Salesforce), and ERP systems (e.g., SAP)
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Problem-solving abilities and a proactive approach to challenges
- Customer-focused mindset with a commitment to delivering outstanding service
- Ability to work independently and collaboratively in a fast-paced environment
- Flexible and calm under pressure, with strong interpersonal skills
