Job Summary

Answer inbound service calls and manage high call volumes while maintaining professional phone etiquette. Schedule, confirm, and follow up on service appointments across multiple dealership locations, converting online inquiries into scheduled bookings. Respond to customer inquiries via phone, email, and text regarding maintenance, repairs, and parts availability. Coordinate with service advisors, parts departments, and management to ensure accurate communication and escalate issues as needed. Perform outbound follow-ups for declined services and missed appointments to drive retention and repeat business. Maintain accurate customer records and communication logs within dealership software systems while adhering to confidentiality standards.

Required Qualifications

  • some post-secondary education or training
  • previous experience in a similar position (administrative, clerical, call center, customer service, etc.)
  • a working knowledge of automotive sales/service
  • a pleasant and courteous personality
  • strong administrative and organizational skills
  • strong phone and computer skills
  • excellent communication and interpersonal skills
  • Strong verbal communication skills with professional phone etiquette
  • Excellent customer service, relationship-building, and conflict-resolution abilities

  • Ability to prioritize tasks and adapt in a performance-driven environment
  • Ability to consistently achieve daily KPI's, including appointment-setting, outbound call volume, customer contact, and productivity goals
  • Basic computer proficiency, including Microsoft Office and dealership software systems
  • Ability to quickly learn dealership processes, service procedures, and scheduling platforms
  • Positive, team-oriented, and customer-focused attitude
  • Self-motivated, dependable, and able to work independently with minimal supervision
  • Professional appearance and strong work ethic

Desired Qualifications

  • Automotive service experience
  • Previous customer service, call center, BDC, receptionist, administrative, or dealership experience
  • Previous phone sales, appointment setting, or internet lead management experience
  • Bilingual communication skills
