Job Summary
Serve as the initial point of contact for clients, addressing inquiries and providing timely responses via phone and email. Assist with scheduling and coordinating client appointments, processing requests including transactions and paperwork, and supporting the onboarding process for new clients. Collaborate with custodians and internal teams to resolve account issues, transfers, and general service requests while providing notary services as required. Maintain up-to-date client records and ensure accuracy across internal systems. This full-time, non-exempt role in Vancouver, WA requires office attendance five days a week with a base salary of $60,000-$68,000.
Required Qualifications
- 2-5 years of experience in a client-facing administrative role within the financial services or related industry
- high school diploma or GED
- BS/BA degree preferred
- Strong communication skills with the ability to establish rapport with clients and colleagues
- Experience with CRM systems and basic financial software
- Knowledge of financial services industry practices, with familiarity in processing account transactions or client service inquiries
- Strong attention to detail and accuracy in handling client records and transaction-related documents
- Ability to multitask and manage competing priorities in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Must be in the office all five days of the work week
- Must be available for weekend shifts
- Must be able to lift 10 lbs
- Must be able to work extended periods sitting or standing at a desk
- Must be able to talk on the phone
- Must be able to type
- Must be able to operate a computer and office equipment
- Must be able to move about inside the office to access file cabinets
- Must be able to carry or lift weight up to 10 lbs in very limited occurrences
