Job Summary
Senior Payroll Specialist responsible for day-to-day U.S. payroll administration and compliance for a distributed workforce (600–1,000 employees across ~35 states). Lead bi-weekly payroll cycle in Paylocity, audit payroll changes (new hires, terminations, clawbacks, corrections, direct deposits), review timecard adjustments for a large hourly population, and process ad-hoc termination pay. Own the U.S. compliance calendar (EEO-1, CA Pay Data, OSHA 300), coordinate ACA and non-discrimination testing, review background checks, health exclusion checks, and policy updates with Legal, and lead the annual Compliance Refresh across employees and contractors. Require 3–5+ years of U.S. payroll administration, multi-state compliance experience, and proficiency with Paylocity; ability to work offshore with U.S. collaboration hours; strong attention to detail, audit-readiness, and cross-functional communication. This role emphasizes high-volume payroll, regulatory reporting, and policy governance in a dynamic multinational environment.
Required Qualifications
- 3–5+ years of hands-on U.S. payroll administration experience
- Experience tracking, processing, and auditing payroll changes including new hires, terminations, compensation changes, timecard corrections, clawbacks, and direct deposit updates with an external payroll provider
- Strong understanding of nonexempt/hourly payroll complexity, including timecard corrections, off-cycle payments, and termination pay requirements
- Demonstrated ownership of U.S. multi-state compliance calendar and reporting, including hands-on experience preparing EEO-1, Pay Data Reports, and OSHA 300 logs
- Experience managing recurring regulatory tasks such as non-discrimination testing, background check reviews, and training and policy acknowledgements
- Comfortable operating in systems such as Paylocity, ticketing platforms, and project management tools
- Detail-oriented with a track record of catching payroll discrepancies before finalization and maintaining audit-ready documentation
- Confident working within tight payroll deadlines where accuracy is non-negotiable
- Able to work independently in an offshore setup while maintaining consistent CT or ET working hours for U.S. collaboration
- A clear communicator who can partner effectively with cross-functional teams
- Comfortable working in an environment where AI tools are part of daily operations
