Senior Executive Assistant

Job Summary

Manage high-level administrative and operational support for the EVP, Head of Digital Media, ensuring seamless day-to-day execution and alignment with business priorities. Exercise independent judgment to prioritize competing demands, resolve scheduling conflicts, and anticipate executive needs by proactively developing solutions before issues arise. Coordinate travel, meetings, and events, including booking flights, accommodations, and transportation, while preparing materials, correspondence, and confidential itineraries. Serve as the primary point of contact to triage stakeholder inquiries, handle sensitive communications, and manage guest registration for large-scale NBA events. Draft, proofread, and edit documents, reports, and presentations, and take meeting minutes with follow-up on action items. Leverage AI and automation tools to streamline administrative tasks and enhance productivity across functions. Coordinate logistics for offsites and programs, managing department orders for supplies, catering, and partnerships with internal and external stakeholders.

Required Qualifications

  • 7+ years previous experience supporting Executive(s) in a fast-paced, corporate setting
  • Proven experience as an executive assistant in a similar administrative role
  • Proven ability to exercise independent judgment on matters of significance with minimal supervision
  • Strategic thinking skills with ability to anticipate needs and proactively recommend solutions
  • Expert-level judgment in handling sensitive and confidential business information
  • Strong interpersonal skills and ability to effectively communicate across all levels of an organization
  • Exceptional organization and multitasking abilities
  • Ability to work independently, prioritize tasks, and meet deadlines
  • Advanced aptitude with all Microsoft Office applications including Word, Excel and PowerPoint
  • Experience with calendar management tools
  • Creative problem-solving skills and is proactive in identifying ways to improve outcomes
  • Strong attention to detail
  • Operates with the highest level of personal integrity and ethics
  • Performs independent project-based work with little supervision
  • Ability to manage multiple projects at the same time with varying deadlines
  • Must be fully vaccinated against COVID-19 (for onsite work in New York and New Jersey offices)

Desired Qualifications

  • College degree with foundation in Communications, Marketing, Business, Psychology or similar
