Senior Executive Assistant

Job Summary

Manage calendars for multiple senior executives, prioritizing requests, resolving conflicts, and coordinating meeting logistics. Prepare and proofread presentation materials, compile pre-reads, and distribute minutes. Plan domestic travel, troubleshoot disruptions, and reconcile expense reports. Serve as a discreet contact for internal and external stakeholders, drafting correspondence and screening communications. Provide backup support to other Executive Assistants and partner on firm-wide initiatives. Maintain sound judgment with sensitive information while working in a hybrid environment three days per week in Philadelphia.

Required Qualifications

  • Bachelor's degree or equivalent experience
  • Three to five years of experience supporting senior executives
  • Experience supporting senior executives, ideally in financial services, professional services, or a fast-paced corporate environment

  • Exceptional discretion, judgment, and confidentiality
  • Experience supporting multiple executives in a fast-paced environment
  • Advanced proficiency in Microsoft Office, calendar tools, travel platforms, and expense systems
  • Polished presence with the ability to interact confidently with clients and external contacts
  • Ability to anticipate needs, act proactively, and exercise independent judgment
  • Excellent verbal and written communication skills
  • Strong organizational, multitasking, and problem-solving skills
  • Ability to work under pressure and adapt to shifting priorities
  • Accuracy and attention to detail
