Senior Clinical Secretary - Occupational & Environmental Medicine

Job Summary
Answer telephone, screen and direct calls, and take messages. Schedule patients, manage calendars, and coordinate surgical procedures, ancillaries, rotaries, and deposition scheduling. Design, analyze, and coordinate master schedules while maintaining, tracking, and sending charts. Type letters, memoranda, and manuscripts; compose and edit correspondence. Create forms, spreadsheets, tables, charts, databases, and slides. Perform file and record management functions, including preparing patient records and obtaining medical record numbers. Complete and process reports, forms, and reimbursements; obtain authorizations and pre-certifications. Conduct on-the-job training for new staff, give input into performance appraisals, and direct the work of other employees, students, volunteers, and temps. Create agendas, take meeting minutes, coordinate conferences, and arrange travel. Perform budget tracking, record keeping, and billing issue resolution; maintain account bookkeeping, petty cash, and perform cash-out functions. Prepare grants and negotiate outside contracts. Full-time, 40-hour/week day-shift position Monday through Friday from 7:30am to 4:30pm.
Required Qualifications
- High School diploma
- 3 years of administrative support experience
- Proven experience working with the public
- Knowledge of medical terminology
- Proficiency in PC word processing
- Proficiency in spreadsheets
- Proficiency in Excel
- Proficiency in Power Point
- Proficiency in MC Publisher software's
- Excellent communication skills
- Excellent interpersonal skills
