Job Summary
Prepare correspondence materials, including templates, documents, letters, reports, PowerPoint presentations, and Excel workbooks. Research, compile, and summarize data and key information while maintaining process documentation to improve work processes. Schedule and coordinate logistics for meetings, events, travel arrangements, and other business activities. Coordinate meeting agendas and supporting materials; record minutes and action items. Support leaders with calendar and email management, invoicing, and expense report preparation. Draft team communications, coordinate onboarding, maintain distribution lists, and review time codes. Maintain flexibility to work overtime as required.
Required Qualifications
- 5+ years of increasingly complex administrative responsibilities
- Written and verbal English language skills
- Excellent organization skills with the ability to manage time in a fast paced and agile environment
- Strong attention to detail and client service focus
- Demonstrated ability to move tasks forward with minimal direction, including the ability to influence others to keep tasks on track and proactively raise concerns as needed
- Strong critical thinking and professional judgement skills to apply guidelines and best practices consistently across tasks
- Proficient in Microsoft Office Suite, specifically Word, Excel, Teams, PowerPoint and Outlook
- Ability to communicate professionally at all levels
- Maintain flexibility to work overtime, as required
Desired Qualifications
- French considered an asset
- Post-secondary education in Business Administration
- Prior experience working with senior leaders in a Professional Services environment
