Job Summary
Manage complex calendars, prioritize meetings, and coordinate schedules across internal and external stakeholders. Plan and organize meetings, conferences, and events, including logistics, materials, and travel arrangements. Review and respond to emails on behalf of leaders, flag items requiring follow-up, and prepare expense reports, invoices, and presentations. Support department operations by managing budgets, supply, and timekeeping, while coordinating team offsites and special initiatives. Provide project support through research and ad hoc requests, and mentor or onboard administrative team members. This full-time, exempt role requires a high school diploma and 1–3 years of administrative experience. The position is based in the office four days per week with one day of remote flexibility. No visa sponsorship is available.
Required Qualifications
- High school diploma or GED
- 1–3+ years of administrative or executive support experience
- Strong proficiency with Microsoft Office (Word, Excel, PowerPoint) and tools like Outlook, Concur, Ariba, etc.
- Ability to manage multiple priorities, adapt quickly, and stay organized in a fast-paced environment
- Strong judgment and ability to anticipate needs with minimal direction
- High level of discretion and professionalism when handling sensitive information
- Valid work authorization that does not now, or in the future, require visa sponsorship for employment in the United States
