Job Summary
Serve as the primary point of contact for Special Education, managing all incoming calls, emails, and mail while maintaining confidential electronic databases and files. Prepare reports, memoranda, and correspondence as needed, and assist with projects including professional development presentations, event planning, and technology setup. Maintain the annual special education budget, process mileage, expense claims, and purchase orders, and oversee inventory for department supplies. Coordinate meetings, organize the Extended School Year Program, and handle contracts with non-public agencies. Provide backup coverage for the board receptionist and ensure all program records comply with state, federal, and district guidelines. Work full-time (240 days) with an expected salary based on the district schedule.
Required Qualifications
- High School diploma or GED
- Ability to type 50 words per minute
- Proficiency in Microsoft Word, Excel, Access, PowerPoint, Publisher and Internet Information Services
- Ability to deal with people in person and on the telephone in a pleasant and courteous manner
- Ability to create, compose and edit written material
- Ability to organize materials and maintain accurate records
- Ability to distribute documents in an efficient manner
- Ability to maintain and establish effective relationships within the workplace
- Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced intensive environment
- Skills in organizing resources and establishing priorities
- Knowledge of structure, policies and procedures of a large organization
- Ability to coordinate and organize meetings and special events
- Seasoned professional secretary to manage multiple priorities and to interact with a variety of people, professionals and organizational entities
- Ability to keep business matters confidential
- Organizing and coordinating skills
- Knowledge of budgetary process
- Knowledge of organizational structure, work flow and operating procedures
- Must be able to meet and interact with employees and parents/guardians in routine situations, which require tact, discretion and courtesy
- Maintain all special education program records in compliance with State, Federal and District guidelines
- Maintain confidentiality and follow proper procedures with special education files
- Background Check Required: (Ala. Code §§ 16-22A-5)-Upon offer of employment, employees will be required to submit legible fingerprints for a background review by the Alabama Bureau of Investigation and the Federal Bureau of Investigation. Background checks must not be more than 10 years old. A new background check is required for anyone new to Madison City Schools, regardless of the recency of the ABI and FBI background checks.
