Job Summary
Manage daily administrative operations for the Operational Stress Injury (OSI) Clinic, supporting mental health assessments and treatment for Veterans, RCMP, and DND clients. Coordinate patient registration and booking using Meditech or similar systems while maintaining bilingual (French/English) communication at A- level proficiency. Prepare reports, manage schedules, and handle financial and mathematical tasks with attention to detail. Maintain accurate records and ensure timely completion of all firm deadlines in a fast-paced medical environment. Requires 40 words per minute typing speed, dictating skills, and ability to work independently with multiple interruptions.
Required Qualifications
- Completion of OSSD or equivalent
- Office Administration or equivalent College certification and/or diploma
- Minimum experience two years full-time secretarial or clerical experience in a medical environment
- Excellent communication, organization, problem solving, and customer relation skills, with the ability to relate to persons with mental illness
- Excellent time management skills with the ability to prioritize and meet firm deadlines
- High level of initiative, judgment and adaptability
- Commitment to continuous learning and quality improvement
- Proficiency in latest versions of standard office software applications including, Microsoft Word, Excel, Outlook, Powerpoint, Meditech or other patient registration/booking system, Internet Explorer
- Typing speed 40 words per minute minimum
- Dictatyping skills
- An understanding of basic financial and mathematical concepts
- Ability to work independently and with multiple interruptions
- Ability to function as a member of a team and work cooperatively with team members
- Bilingual (French/English)
- English level A- is mandatory in oral comprehension, expression, reading, and writing
- French level A- is mandatory in oral comprehension and expression
