Job Summary
Provide administrative and clerical support to school leadership and staff; serve as the first point of contact for visitors, students, and parents; manage phone calls, correspondence, and front office operations; maintain accurate student and office records in compliance with school policies; assist with scheduling, attendance tracking, and report preparation; assist with lunch duties; maintain financial records, spreadsheets, filing systems, and office documentation; assist in monitoring and maintaining building budgets; assist staff with purchasing procedures, financial processes, and reimbursement requests; review, verify, and submit invoices and payment requests accurately and in a timely manner; collect, track, deposit, and process all funds received by the school while maintaining accurate deposit records and cash accounts; help maintain vendor files and communicate with families, vendors, and the district finance office regarding fees, billing, payments, and account information; submit purchase requests, place orders, and help track building supply and inventory purchases; assist with audit preparation and maintain required financial documentation in compliance with district policies and procedures; maintain confidentiality of student, staff, and financial information; perform other finance-related and administrative duties as assigned; preferred: previous experience as a school secretary or in an educational setting; experience with accounts receivable and accounts payable, invoicing, or basic bookkeeping; familiarity with student information systems and school office procedures.
Required Qualifications
- Proficiency in Google Workspace and Microsoft Office, particularly Sheets/Excel and Docs/Word
- Strong time management and organizational skills
- Excellent attention to detail and accuracy, especially with financial data
- Effective written and verbal communication skills
- Ability to multitask and work independently in a school environment
- Previous experience as a school secretary or in an educational setting
- Experience with accounts receivable and accounts payable, invoicing, or basic bookkeeping
- Familiarity with student information systems and school office procedures
