Job Summary
Seasonal Administrative Assistant needed to support front office and accounting staff. Responsibilities include organizing, scanning, filing, and uploading documents to project software and web portals; setting up, modifying, and closing vendor accounts; updating service plans and vendor services; maintaining mailing and billing addresses; resolving vendor disputes; updating and tracking spreadsheets for insurance policies and claims; preparing invoices for Accounts Payable; editing and organizing PDF documents with Adobe Acrobat; learning and using new technology across multiple systems; and professionally communicating with clients via email and phone, including scheduling meetings. Requires strong Microsoft Office skills, advanced Adobe Acrobat proficiency, attention to detail, ability to multi-task, excellent communication, independent work style, and proactive problem solving.
Required Qualifications
- Professional office experience 1 yr +
- Proficient with Microsoft Office suite
- Advanced knowledge of Adobe Acrobat for creating, editing, and organizing PDF documents
- Attention to detail and ability to multi-task
- Excellent verbal and written communication skills
- Independent worker and learner, willingness to take on new tasks
- Ability to self-manage projects, proactive problem solving, analytical skills
