Scientific Program Coordinator

Job Summary

Coordinate production, compliance review, and dissemination of approved Internal Medicine Meeting educational materials while managing end-to-end expense reimbursement for faculty. Prepare reports and mailing lists from Scientific Program databases, assist with AV and technical equipment needs, and facilitate data collection via the AAMC Convey Global Disclosure System. Serve as primary contact to staff across Medical Education and College divisions to manage session evaluations, maintain historical records, and provide on-demand faculty data at committee meetings. This hybrid role (2 days on-site) in Philadelphia requires an Associate's degree with 1-3 years of experience, familiarity with relational databases, and strong communication skills to support complex project planning and monitoring.

Required Qualifications

  • 1-3 years of relevant experience

Desired Qualifications

  • Bachelor's degree
  • Familiarity with relational databases (e.g., Microsoft Access) or similar software
  • Ability to manage relational data and its storage, retrieval, and analysis
  • Advanced PC skills including Microsoft 365 and ability to learn new systems
  • Experience working for a membership association
  • Demonstrates strong verbal and written communication skills to effectively collaborate with faculty and College staff at all levels regarding the planning, implementation, and monitoring of complex projects
