Job Summary
Answer telephone, screen and direct calls, and greet persons entering the organization. Provide information to callers, direct visitors to appropriate areas, and maintain office security by controlling access via the reception desk. Manage correspondence, schedule appointments, coordinate meetings, and maintain records of office expenses and student files. Order front office supplies, control inventory, and tidy the reception area while treating staff, children, and family members with dignity and respect. Administer medications in accordance with ECED policies and supervise other office staff.
Required Qualifications
- High school degree
- Experience in an office management position
- Ability to answer telephone, screen and direct calls
- Ability to take and relay messages
- Ability to provide information to callers
- Ability to greet persons entering organization
- Ability to direct persons to correct destination
- Ability to give tours
- Ability to deal with queries from the public and customers
- Ability to collect and register payments
- Ability to coordinate with finance
- Knowledge of staff movements in and out of organization
- Ability to provide general administrative and clerical support
- Ability to prepare correspondence and documents
- Ability to receive and sort mail and deliveries
- Ability to schedule appointments
- Ability to maintain appointment diary either manually or electronically
- Ability to organize conference and meeting room bookings
- Ability to co-ordinate meetings and organize catering
- Ability to monitor and maintain office equipment
- Ability to control inventory relevant to reception area
- Ability to tidy and maintain the reception area
- Ability to greet and welcome guests as soon as they arrive at the office
- Ability to direct visitors to the appropriate person and area
- Ability to answer, screen and forward incoming phone calls
- Ability to ensure reception area is stocked with all necessary stationery and material
- Ability to provide basic and accurate information in-person and via phone/email
- Ability to maintain office security by following safety procedures and controlling access via the reception desk
- Ability to order front office supplies and keep inventory of stock
- Ability to update calendars and schedule meetings
- Ability to keep updated records of office expenses and costs
- Ability to perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Ability to treat staff with respect and in a professional way
- Ability to maintain student records
- Ability to administer medications in accordance of ECED policies and procedures
- Ability to supervise other office staff
- Ability to treat children and family members with dignity, compassion and respect
- Ability to remain objective
- Ability to complete the Diana Screen
- Full-time employment availability
- Hourly position availability
- Monday through Friday availability
- 9:00 am to 6:00 pm availability
- Location in Enterprise, FL
Desired Qualifications
- AA Degree
- Two years' of experience
- Additional certification in Office Management
