Job Summary
Scheduling and Attendance Coordinator at Extendicare Montfort (Ottawa, ON) responsible for actively assigning and maintaining staff work schedules for all departments using Workday Scheduling, managing vacancies due to absences, coordinating coverage with staff and staffing agencies, validating hours for payroll submissions, assisting with leave administration, and providing administrative support to Operations Manager and clinical leadership. The role includes resident administration support, supply management, safety-and-health incident handling, organizing Health and Safety committee meetings, and serving as a strategic resource on staffing and labor relations. Must be bilingual in French and English with strong communication, data analysis, and Microsoft Office skills; experience in a long-term care or healthcare setting is an asset.
Required Qualifications
- Post-secondary diploma/certificate in office or business administration, bookkeeping, accounting or equivalent work experience managing employee time and attendance
- Experience with Workday Scheduling, PCC/PointClickCare or cloud-based software
- Bilingual French and English
- Strong communication and interpersonal skills with internal and external stakeholders
- Proficiency in Microsoft Office Suite (Word, Advanced Excel, Outlook, PowerPoint, Teams)
- Knowledge of HR, payroll and scheduling; understanding of collective agreements
- Ability to work in a fast-paced environment with changing priorities and tight deadlines
- Time management and analytical skills
- Experience in long-term care or healthcare setting (asset)
