Job Summary
Sales Operations Coordinator III supports the Sales Team, Service Technicians, Maintenance Technicians, and Installers by maintaining accurate data in systems, coordinating customer communications about scheduled calls, and efficiently planning and routing technicians and Residential Sales Consultants. Responsibilities include analyzing and resolving customer issues, scheduling service/maintenance/sales calls, calling customers to confirm appointments, updating dispatch boards and capacity planning, documenting lead and sale details, and providing professional, ethical representation of the company. Requires strong customer service, multi-tasking, proactive communication, scheduling, and familiarity with dispatch software; experience with STARS and AS400 systems is desirable. The role emphasizes capacity planning, coordinating with sales staff, and ensuring timely follow-up with customers and technicians. Required Qualifications
- High school diploma or equivalent with 2 years’ experience in customer service or another customer-facing environment
- Prior experience with dispatching is desirable
- Experience or training with computers and related systems in an administrative office environment
- Prior experience with an AS400 system desirable
- Ability to multi-task in a fast-paced environment
- Excellent customer service, communication, and interpersonal skills
- Effective communication with customers and coworkers
- Knowledge of local geographical areas or willingness to learn
- Ability to make decisions based on guidelines and procedures
- Strong organizational and time-management skills
- HVAC/Refrigeration industry knowledge is an asset
