Job Summary

Complete or delegate key administrative tasks including editing CVs and NIH Biosketches, preparing academic review and promotion portfolio materials, and assisting with manuscript submissions. Lead strategic guidance on grant and award submissions by creating timelines, completing technical and scientific portions, reviewing budgets, and preparing annual progress reports. Manage monthly time and effort reporting, conflict of interest approvals, and compliance tracking for CDAs, MTAs, and DTAs. Oversee faculty budgets, reconcile expenses, manage purchasing orders, and submit work orders for equipment repairs. Perform on/off boarding activities, coordinate performance evaluations, and coach lower-level staff while participating in IACUC and MUA/DUA applications. Work in a hybrid fashion with at least three days per week on the South Lake Union campus to support faculty in the Clinical Research Division.

Required Qualifications

  • A Bachelor's Degree or 3 years relevant experience
  • Minimum of one year experience managing federal and/or non-federal sponsored research
  • Advanced proficiency with Microsoft Office/Adobe
  • Working knowledge of Excel formulas and functions such as creating formulas and working with Pivot Tables
  • Ability to edit SharePoint sites or basic web pages
  • Knowledge/prior experience with Enterprise Software Systems
  • Ability to source data from systems and generate customized reports
  • Efficiently planning, organizing, and prioritizing your work as well as that of others
  • Ability to tailor communications to specific audiences
  • Ability to navigate complex internal systems and departments
  • Basic budgetary knowledge (ability to reconcile, manage, report budget information, etc.)
  • Basic knowledge of accounting terminology
  • Knowledge of relevant regulatory guidelines such as IRB, IACUC, MUA
  • Prior experience or exposure to grant writing/applications
  • A Bachelor's Degree or 4 years relevant experience
  • Minimum of three years experience managing federal and/or non-federal sponsored research
  • Experience creating and executing strategic plans
  • The ability to delegate tasks to appropriate resources
  • Multi-project grant experience with a wide variety of funding sources
  • The ability to analyze and interpret regulations, determine impact, and manage change
  • This position is expected to be a team player; participating in team activities, provide coverage for team members when they are out of office, and general collaboration in support of the Fred Hutch mission, is expected of individuals who work in the Fred Hutch Clinical Research Division
  • This role should plan to work in a hybrid fashion; spending at least 3 day per week on the South Lake Union campus

Desired Qualifications

  • Four years of relevant experience
  • Prior supervisory or project management experience
  • Certified Research Administrator
  • Prior administrative experience in a research or academic setting
  • Proficient in fiscal and budgetary management
  • Able to understand, interpret and provide guidance relating to notice of awards and terms/conditions for sponsored research
  • Strong organizational and problem-solving skills and the ability to manage competing priorities
  • Excellent verbal and written communication skills and the ability to communicate effectively with personnel from a variety of levels
  • Ability to exercise sound judgement and make appropriate decisions
  • Proactive, can anticipate needs, and set and meet deadlines
  • Capable of working autonomously to complete assigned tasks with minimal supervision/direction
  • Five years of relevant experience, three years as a research administrator, preferably with principal investigators/academics
